Information we collect
When you contact us through the website. Our enquiry form asks for your name, email address, phone number, the service you are interested in, and any message you choose to send.
When you become a client. Depending on the services you use, we may collect:
- identity information, such as your name, date of birth, address and copies of identity documents
- for identity checks, a photo or short video of you used for a liveness check, which confirms you are a real person and match your identity document (this is biometric data)
- tax and financial information, such as income, bank records, payroll data, National Insurance numbers and Unique Taxpayer References
- information about your company, its directors, shareholders and people with significant control
- records of our correspondence and the work we do for you
When you visit the website. Our web server keeps standard technical logs, such as IP address, browser type and pages requested, for security and to keep the site working. We do not use analytics or advertising tracking.
How and why we use it
Data protection law requires us to have a lawful basis for each use of your information:
- To respond to your enquiry: because you have asked us to (steps before entering into a contract) and our legitimate interest in replying to people who contact us.
- To provide accountancy, tax, payroll, audit and company secretarial services: to perform our contract with you.
- To carry out anti-money laundering checks and verify identity: to comply with our legal obligations under the Money Laundering Regulations 2017, and Companies House identity verification rules where we act as your Authorised Corporate Service Provider.
- To file returns and information with HMRC, Companies House and other authorities: to perform our contract and comply with legal obligations.
- To meet our professional obligations to the Association of Chartered Certified Accountants (ACCA), including regulatory monitoring: legal obligation and legitimate interests.
Biometric data. Biometric data used to identify you is special category data. We only process it for identity verification, and we rely on the substantial public interest conditions in the Data Protection Act 2018 for preventing or detecting unlawful acts and for meeting regulatory requirements, because these checks are required by anti-money laundering law and Companies House identity verification rules.
Who we share it with
We do not sell your information. We share it only where needed:
- HM Revenue & Customs, Companies House and other government bodies, when we file or correspond on your behalf
- our identity verification provider, Credas, which carries out document and liveness checks for us
- software and service providers who help us run the practice, such as cloud accounting and payroll software, secure document exchange, email and IT support, and website hosting
- Google, which provides the reCAPTCHA spam protection on our forms, the map on our contact page, and the fonts used on this website. These services may receive your IP address and set cookies.
- ACCA, our professional body and anti-money laundering supervisor, when required for regulatory purposes
- the National Crime Agency or other authorities, where the law requires us to report
International transfers
Some of our service providers, including Google, may process information outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses.
How long we keep it
- Website enquiries that do not lead to an engagement: 12 months from our last contact.
- Client records: for at least six years after the end of the tax year or accounting period they relate to, as required for tax purposes.
- Anti-money laundering and identity verification records: five years after our business relationship ends, as required by the Money Laundering Regulations 2017, unless the law requires us to keep them longer.
